Set up and customise the EDMS

The latest release of the DMC app comes with a host of UX and UI changes, new features and bug fixes. Based on the feedback we have received from both our clients and prospects, our team has been able to identify areas of improvement in the part of DMC configuration.

 

Location and structure of the settings

Once you have installed the plug-in Document Manager for Confluence, you will be able to use it by creating a new space or working with a current one. To begin your experience with the plug-in, you will have to fill quickly and easily a few parameters. To find the interface for the configuration, go to the “Space Settings” on the sidebar. Then, on the “App links” category, you will find the DMC settings if the plug-in is correctly installed.

The space where you enter the settings is the “draft” space, in which. You will also have to select another space for the single source of truth

 

 

The settings are presented within a panel consisting of seven sections. The first section is for activating/deactivating the plugin, followed by the remaining six sections for configuring various aspects such as nomenclature, depth number, publication space, and so on. It is necessary to configure all these sections to enable the plugin.

If any of these sections are not configured, you won't be able to activate the plugin within the space.

Activate/Deactivate

The first section of the DMC settings allows you to activate the plug-in for your Confluence space.

As of now, you can not activate the plug-in. First, you will have to fill the parameters. Then, the button can be switched on, and the plug-in can run in our space.

 

When the plugin is deactivated if you create a new page, no DMC information will be attached to it.

If any of these sections are not configured, you won't be able to activate the plugin within the space.

Publishing Space Area

This is where you configure your publishing output space.

This publishing space allows the single source of truth, it is where you will find every version of documents you asked DMC to publish.
You can easily update the publication space, they are sorted by name among all the spaces of the website.

Here, you can select only the spaces that are empty and unused by DMC.

It's important to ensure that the chosen space doesn't contain any draft pages, as it may be considered published for another space.

You cannot set the current space as a publishing space.

 

Versioning

The number implementation to version your documents is also defined by you.
The adjacent screenshot shows the casual versioning format, but you can modify it at any time.

It is always necessary for the publication version to be strictly greater than the initial version.

You can also choose not to increment document versions when you select 'Increment Version = 0

When you make a modification to the page in this case, the version increments automatically by the number of version increments you have chosen, and when you publish this page, the version changes immediately to the number you have selected in 'Increment when publishing a page.'

 

 

 

Naming rules

The next section gives you the choice of your document naming rules for their ID.

There are two types of elements that can form your document ID :

  • Fixed elements that are mentioned directly with the characters you want. With the adjacent example, we can find “Demo” defined this way.

  • Variable elements, that are mentioned between [square brackets]. Here, the year and then the counter have been chosen to be the variable elements.

    • The “Parent + Number” element allows mentioning a parent page of the document. Entering “[Parent[1]]” will make the name of the direct parent appear, but further parent page names are accessible for the document ID by typing higher numbers.

    • As written in the signification column, the counter element is mandatory to have a valid naming rule.

If the chain of your elements is written correctly, you can then update it to rule your ID documents this way.

This section gives you the choice of your document naming rules for their ID.

To choose an option, all you need to do is check.

To add a parent, simply check the 'Parent' option, and then choose the number of parents.

You have the ability to change the order and perform drag-and-drop.

When you choose, for example, a parent 2, and your DMC page does not have a parent at level 2, in that case, you will not find the parent's name in the label."

 

 

 

 

 

Selection of the publication status

The status of your documents are defined following the workflow from Comala Document Management that is used in your draft space. Typically, they can be “draft”, “published”, “approved”… You will find all the status available in your workflow.

This section allows defining when the document version will be published in the publication space.

Usually, the “published” Comala status of the document is the one that is chosen to add the current version of it in the publication space, but it can be defined otherwise

 

 

 

 

 

 

Selection of the group that can be assigned to read confirmations

A functionality of CDM is to do read confirmation. You can pick a group in the list and update : the people included in the group are the ones that are able to do read confirmations.

 

 

Selection of the minimum depth for the pages to be concerned

The last section is about the depth of the pages concerned by the plug-in.

The depth of a page is the number of parent pages she has, in other words the amount of pages that constitute the (the mentioned page is included in the amount).

For a Confluence page that has a depth strictly below the depth you select, the DMC add-ons will not appear on the document view, and they can not be published in the publication space.

You cannot create a DMC page when that page is at a lower hierarchical level than the specified depth number.

 

To be over with this step, do not forget to update each section and activate DMC. You can find back this panel at any moment in Space Settings → App Links → DMC Settings
